Minutes of the School &Village Association AGM held on Thursday 25 February 20010
1. Present: Fleur Clegg, Neil Harris, Rob Howard, Roger Swain, Lois Clark, Georgina Mason, Kate Dorrell, Lorna Carter, Alison Arnold, Bill & Sandra Martin, John & Anne Kingsmill-Scholes, David & Maud Wyatt, Claire Willis, Huguette Jenkinson, Tony & Sylvia Pryer, Rosemary Gardiner, Anne Deane
2. Apologies: Phil Clegg, Howard Russell, Phillip Stephenson, Jenny Hack, Diane Harris, Mara Ramans, Janet Watson
3. and 4. Previous minutes: The only matters arising were the need to publicise the arrangement for giving lifts which could be coupled with a website for car sharing by S Cambs DC. The minutes were accepted.
5. Head Teacher’s report: The Chairman introduced Kate Dorrell who was welcomed and congratulated on her post being made permanent. She reported on the previous year (although she has only been in post since September) with a written report under the following headings: Theatre visit, Artist in residence, Maths challenge, Healthy schools award, Kingswood residential, Staff changeover, Safeguarding regulations, Zambian visitors, Trips and other visitors, Children in need day, The Sleepy Shepherd, Chinese New Year and the Library. World Book Day is on 4 March with a fair at the school 3.15 – 3.45 and parents and villagers are invited to attend. On NH’s suggestion Miss Dorrell agreed that facilitating the village’s ability to sponsor children for this day would be a good idea (rather than the children just going door-to-door) and suggested herself/the office as a contact. Miss Dorrell thanked the S&VA and the village for such a warm welcome and expressed how fortunate the school is to have such a supportive community, as well as church and diocese. She was very keen to encourage parents to continue to get involved in the S&VA.
6. Chairman’s report: Fleur Clegg thanked everyone for coming and reported on the S&VA’s activities and overall financial position for a very busy and successful 2009. She thanked all those who had contributed to the S&VA’s activities last year and stressed how important it was to recruit some new volunteers so that the same people were not always called upon. Plans and expenditure for 2010 include a variety of possible events and special projects which may arise in the school/village with more detail to be discussed in the forthcoming Termly Meeting to which everyone is invited at the school on Monday March 22. Fleur thanked the members of the committee, particularly those standing down and Rob Howard for his long and valuable service as secretary (which NH re-iterated having been instrumental in Rob’s original joining). Her report will be presented again in a future newsletter. She was asked how information about the activities in the school could be sent to those without children there and the meeting discussed this, with Miss Dorrell agreeing to look at how events could be publicised in time more widely. The newsletter is one route, but signs help and Claire Willis offered to post information towards the far end of Oakington Road, where it was again felt that a noticeboard would be useful.
7. Annual accounts: Roger Swain presented the audited accounts for 2009. He expressed his thanks to Howard Russell for auditing and for agreeing to act for the coming year. Income was at £6957 and net expenditure £4254 producing a surplus of £2703. This was largely due to Feast Week and Marquee hire, as well as Bags2School, the revue and Christmas events, and the fact that advertising in the newsletter now showed a surplus rather than a loss and Roger thanked Fleur for her efforts in this regard. This increases the reserves to £7932 which are provisionally allocated to marquee replacement, Village Plan/LO building fund and general reserves. Acceptance was proposed by David Wyatt, seconded by Sandra Martin and passed. Roger also thanked the Chairman for all her work for the S&VA.
8. Appointment of auditor: Howard Russell was reappointed, proposed by David Wyatt, seconded by Anne Deane.
9. Resignation of current committee and election of new officers and committee: David Wyatt chaired this part of the proceedings and said that there were vacancies on the committee due to the resignation of Phillip Stephenson and Lois Clark. As a number of the committee were willing to stand if no other nominations were received, the following were elected: Fleur Clegg, chairman (for a final year); Georgina Mason, secretary; Roger Swain, treasurer; Neil Harris, publicity officer; and as committee members, Rob Howard and Jenny Hack. There were no other nominations. The committee was re-elected en bloc proposed by Tony Pryer and seconded by Anne Deane.
10. Future events: These had already been mentioned by the Chairman. Lorna Carter was concerned about parents leaving their children at rehearsals for the revues and the need for CRB checks and asked if the S&VA would fund checks for the organisers (thought to be about £65 each). It was agreed that this matter needed looking into more generally and Miss Dorrell offered to report back to the Committee on the requirements so that this could be taken further (it was noted that the process was thought to be changing in July). Sandra Martin thanked S&VA for holding funds for the Green Group and mentioned that there was a proposal from S Cambs to provide guidance on organising a village litter pick with a workshop on March 8, if this was of interest. It was felt that some individuals already did this for some areas of the village so that a community day might be unnecessary and it was left to Sandra to contact the relevant individuals to discuss it further.
